Want to be a part of the 2025 Food Truck Fest? Here is what you need to know:

ABOUT THE APPLICATION PROCESS​

  • Deadline: The deadline for food truck applications (food trucks and marketplace vendors) is Friday, June 6, 2025. The deadline for marketplace vendors is Friday, June 27th. Applications received after these dates will not be considered.

  • Acceptance Timeframe: We will let you know, via email, if you've been accepted to the Fest by Tuesday, June 11th, 2025. You cannot be accepted to the Fest without submitting a completed application, with attachments and application fee (see below). 

  • Vendor Instructions: Vendor instructions (including where to park, how to load in, times for the day, etc.) will be provided once your application is approved.

  • Food Truck vs. Marketplace: Not sure which application to submit? Regardless of if you have a physical truck, if you're selling food for human consumption, then you're viewed as a food truck for the purposes of this event. Note that marketplace vendors may not sell or giveaway food or drink of any kind.

  • Application Fees: Once your application is confirmed you will receive an invoice. All payments are due Friday, June 13th by 11:59pm. 

  • Fee Amounts: 

    • For Food Trucks, fees are $600

    • For the marketplace, fees are $75 for small businesses/independent vendors, or $250 for chain retailers

    • Making Your Payment: Once you are approved as a vendor, you will receive an invoice via Square, our secure online payment system. This invoice will be sent directly to the email you provided in your application. You will then be able to complete your payment conveniently online using a credit or debit card. Please note that your spot will not be confirmed until payment is received. The application fee is non-refundable. â€‹

  • Certificates of Insurance: All food trucks are required to submit a Certificate of Insurance (COI) showing a minimum general liability insurance coverage amount of $1,000,000 per occurrence. Marketplace vendors are not required to submit a COI.

    • Additional Insured: Your COI must list the City of Whitehall at 360 S. Yearling Road, Whitehall, Ohio 43213 as an additionally insured.

    • Submitting Your COI: You can either submit your COI online with your application, or you can mail/deliver your COI to the City of Whitehall, 360 S. Yearling Road, Whitehall, Ohio 43213.​
